Planning a Family Reunion in Mid Wales

Getting the family together for a whole weekend gives you something a hurried lunch cannot: time for proper conversations, shared meals and the small moments between planned activities. When grandparents, siblings, cousins and children are coming, a little organisation helps everyone enjoy the reunion.

At Wales in the Woods in Abbeycwmhir, Powys, your family can book the cottage, three meadow pods and communal barn as one private Whole Valley stay. Here is how to plan a family reunion in Mid Wales, from choosing the right sleeping arrangements to leaving enough room for a relaxed weekend.

Start with the people, dates and budget

Choose one organiser to gather possible dates and guest numbers. Ask who can commit to two nights, who is bringing children and whether any dogs will be coming. Give the family a short choice of dates rather than trying to coordinate everyone's entire calendar.

Once you know the likely group, check the total accommodation price for your dates and agree how to share it. Include groceries and any planned outings in the budget. Make the arrangement clear before booking, especially when households have different numbers of adults and children.

Choose somewhere to gather and somewhere to retreat

A successful reunion needs space for everyone to meet without requiring everyone to spend every hour together. Our Whole Valley booking includes the communal barn, with kitchen, dining, lounge and games space, and separate sleeping accommodation in the cottage and pods. Nobody sleeps in the barn.

The barn, hot tub and six-acre grounds are exclusively for your booking, with no other guest groups sharing them. Families can cook and eat together, play a game or take a quiet moment in the countryside. Some can linger over a conversation while others head outside.

Work out sleeping arrangements before booking

Group stays accommodate 13–16 guests, depending on the mix of adults and children and how the pod futons are used, with a maximum of 16. Start with the actual bed layout rather than assuming that the headline capacity means a separate bed for every person.

  • The cottage: two double bedrooms, one twin bedroom with two single beds, and two indoor bathrooms.
  • Larch pod: twin beds and a small double futon sofa bed.
  • Rowan pod: a double bed, a single bed in a separate room and a small double futon sofa bed.
  • Oak pod: a king-size bed and a small double futon sofa bed.

Each small double futon suits one adult or two children, subject to the overall guest limit. Bedding is supplied for main beds; bring bedding for any futons you use and bath towels for everyone on a group stay. Allocate rooms with parents and children, sharing preferences and bedtime routines in mind.

Check the practical layout for every generation

Each pod has its own separate outdoor bathroom with a hot shower, flushing toilet and basin. The pods are around 40–50 metres from the cottage along a woodland path, with no vehicle access to them. This is a countryside setting, so footwear and a torch are useful.

If anyone has specific mobility or access needs, contact us before booking to discuss paths, rooms and bathrooms. Read the group-stay details together rather than making assumptions about step-free access or which rooms will suit an older relative.

Children need supervision around the open pond and animals. Up to three well-behaved dogs are welcome when included in the booking; dogs likely to chase the free-roaming animals must be on a lead. Agree these responsibilities before arrival so the organiser is not managing everything alone.

Plan activities without filling every hour

Choose a few things people can join easily. At Wales in the Woods, your family has shuffleboard and darts in the barn, table tennis overlooking the valley, and outdoor space for badminton and volleyball. Bring favourite board games for a slower afternoon or a rainy spell.

Forest tracks from the doorstep give walkers an option without organising a drive. Choose a distance and pace that suit those taking part, and leave an easy alternative for anyone staying back. The covered hot tub and valley views offer another way to unwind. Explore our on-site experiences for more ideas.

If you would like a day out, browse our local food and outing guide. Our Rhayader and Elan Valley weekend itinerary can help you plan a separate excursion. You do not need everyone to take part in the same activity for the reunion to feel shared.

Make shared meals the easy part

Ask about dietary requirements before shopping. An easy Friday supper, a leisurely Saturday breakfast and one special family meal can provide enough structure for the weekend. Divide shopping, cooking and washing-up between households.

Keep children's meal times in mind and bring a few familiar favourites. A highchair is available on request. If you want a takeaway, plan collection: deliveries are unlikely to reach the secluded valley. For a restaurant outing, contact the venue ahead about your group size and requirements.

A relaxed two-night family reunion

Friday: arrive from 4pm, settle into the cottage and pods, then gather in the barn for supper and games.

Saturday: share breakfast, choose a forest walk or games in the grounds, and leave the afternoon flexible. Come together for your main family meal in the evening.

Sunday: keep breakfast simple and share the packing and clearing-up jobs before check-out at 10am. Plan any final outing after departure.
